General Manager

Position Description

As the senior officer and ambassador of the Mat-Su 2024 Arctic Winter Games, the General Manager, in partnership with the Mat-Su 2024 Arctic Winter Games Host Society, is responsible for the overall
planning, organization, coordination, control, successful execution, and financially-responsible staging of
the 2024 Arctic Winter Games. The General Manager will support and lead a high functioning staff of 16
hybrid professionals who are already hard at work planning.

General Management

1. Oversee all aspects of the Arctic Games including planning, scheduling, fiscal management and contractual negotiations. 2. Develop and manage a comprehensive annual operating and capital budget, ensuring the required financial controls are established and adhered to in coordination with the Treasurer (or Finance Chair). 3. Work with the contract accounting firm to develop a financial reporting system that provides the level of detail necessary for the Board to support prudent financial decisions, monitor the financial status of the Games, and have quarterly reports prepared for the AWG International Committee and Borough grants. 4. Prepare and continually monitor the results of strategies and plans for each functional area of the Host Society. 5. Develop a centralized communication system to ensure the efficient coordination of work amongst the Society members, staff, volunteers and partners. ● Lead post-Games activities, including drafting and presenting the final financial performance and economic impact report, constructing a disposal of assets plan and facilitating the creation of a final report from each functional area.

Partnership Development and Liaison

1. Act as the Games ambassador and champion in the promotion of the Games with all partners, participants, government agencies and sport associations. 2. Develop and implement a sponsorship strategy and sponsor support program. ● Maintain cooperative arrangements with the Arctic Winter Games International Committee, the Mat-Su Borough and the State of Alaska. 3. Establish and work within an approved partnering communication framework.

Board and Committee Support

1. Prepare and monitor timelines and approved strategies for the functional areas. 2. Coordinate preparation of board agenda and associated documents for board packet and attend monthly board meetings as well as any necessary additional division and committee level meetings. 3. Provide administrative support to the established Boards and Committees and assist in the recruitment of volunteers for vacant committee positions. 4. Deliver accurate, timely and comprehensive presentations to Boards, Committees, local and State Officials, sponsors and key stakeholders. 5. Provide critical timeline reports and regular updates to the appropriate bodies within the Host Society.

Human Resources and Staffing

1. Foster a safe and collaborative working environment focused on mutual respect and inclusivity. 2. Create and manage a workforce plan for employees and volunteers. 3. Develop human resources policies and procedures, including a performance plan and review process. All processes will be approved by the Board prior to implementation. 4. Oversee the full employment cycle, including recruitment and hiring. ● Directly supervise and mentor staff and provide central direction and coordination of information. 5. Provide consistent and cohesive orientation and training for all employees and volunteers.

Marketing, Communications and Public Relations

1. Develop, coordinate and execute a thorough marketing, communications, public and media relations strategy for the full scope of the Games, including post-Games wrap up, in coordination with the Marketing and Public Relations Board Director. 2. Evaluate and adjust as needed the ongoing marketing program for ticket sales, event management and related considerations, in coordination with the applicable Board Directors. 3. Ensure the alignment of the marketing strategy into all Games activities. 4. Attend and participate in meetings of the volunteer committee and work groups to ensure effective communications, planning and integration of work across the spectrum of Host Society activities and responsibilities.

Fundraising

1. Oversee and implement a fundraising plan that includes business and corporate sponsorship, donations, local, state and federal grants, and in-kind donations 2. Research, write and submit grant requests 3. Develop a donor/sponsor recognition plan 4. With the Board President, cultivate relationships with major donors, funders and sponsors 5. Work closely with the Venue Director and Sport Director to ensure facility upgrades are appropriately budgeted ● Work closely with the Care and Comfort Director to understand the need and expectation of the athlete villages facilities and appropriately budget for those needs

Qualifications

1. University Degree in Public Relations, Marketing, Business Administration, Non-Profit Management, Organizational Development, Recreation, Sports Management, or a related discipline. 2. Experience in managing major events, preferably related to large sporting events. 3. Event Management Certificate is an asset. 4. Minimum 10 years working at a senior management or executive level in a corporate, non- profit or institutional environment 5. Demonstrated leadership experience connecting with a wide array of functional areas such as finance, human resources, marketing, fundraising and project management. 6. Experience working with Boards, sponsors, donation recruitment, and volunteers.

Necessary Skills

1. Non-profit management experience. 2. Experience managing teams of employees who work flexible, hybrid schedules. 3. Broad and demonstrated knowledge in event management, strategic communications, stakeholder relations and public engagement. 4. Expertise in strategic planning, issues management and policy development. 5. Budget management 6. Fundraising to include grants, sponsorships, and donations. 7. Excellent communication and interpersonal skills in all situations. 8. Highly developed political and business acumen 9. Ability to provide interdepartmental leadership and build relationships with diverse stakeholder groups including but not limited to tribal leaders, industry, government, sponsors and the public. 10. Strong presentation skills. 11. Excellent computer and information technology skills, to include Google Suite.

Sponsorship & Fundraising Program Manager

Salary: $4,500/month
Position Type: Temporary, flexible scheduling due to some evening and weekend events. Hybrid some remote work with an in office requirement for team meetings and events. Full Time (hire date - April 30, 2024)

Position Description
The Arctic Winter Games cannot operate without the generous support of the business community, and key foundations in Alaska. The Mat-Su 2024 Arctic Winter Games Host Society has set a goal to raise $4.5 million dollars through fundraising, sponsorships, and in-kind contributions. This is 60% of the revenues required for the overall budget of $7.4 million. The Sponsorship & Fundraising Manager will work closely with the General Manager and specific volunteer Host Society Directors to raise corporate, foundation, and private donations to fit the specific needs of the Games. In addition, the Sponsorship & Fundraising Manager will ensure sponsorship fulfillment according to the established sponsorship strategy. Key Responsibilities 

1. Steward all sponsorship and fundraising related activities for the Mat-Su 2024 AWG with support from the General Manager and Marketing and Public Relations. This may include program and event development. 2. Represent Mat-Su 2024 AWG in funding conversations 3. Provide administrative follow-up, agreement closures, and documentation of fulfillment plans. 4. Track sponsorships with a database containing all sponsor information and communications from the Host Society. The database should include all commitments by the sponsor and the Host Society, and the ultimate fulfillment of commitments in a timely manner working with a Sponsorship Coordinator. Marketing and Special Guest Services. 5. Develop a program that recognizes corporate and foundation donors, (cash and in-kind) separately from government and institutional sponsors (i.e., Federal, State, Borough and School District). The program should include formal receipts for tax purposes, as well as a system for thank you letters signed by the primary sponsor recruiter or Host Society Chair. Recognition programs for past Games have included plaques, sponsor pins, appreciation events, signage, and other public recognitions. 6. Participate with the Finance Committee to provide reports. Monitor and report out on fundraising metrics and movement towards achievement of goals. 7. Manage non governmental grants and support grant writing and research, as needed. 8. Assist with registration of sponsors as Special Guests in the Games and Event Management Software (GEMS) for accreditation purposes. 9. Work with Special Guests Services to ensure sponsors are included in Special Guest events and programs, and that hotel rooms are available for out-of-town sponsors. 10. Coordinate with the Arctic Winter Games International Committee regarding the sponsor recognition reception. Position Requirements

1. Bachelor’s degree in business, public relations, or another related field. 2. Previous experience in sponsorship development/fundraising operations. 3. Demonstrated success managing complex projects (i.e., conventions, conferences, galas), preferably both in-person and virtual, including timeline, team, and deliverable management. 4. Strong computer skills including G-Suite, Microsoft Suite (Excel, Word, Access) and/or project management software. 5. Exceptional communication and interpersonal skills. Ability to establish and maintain relationships (internal and external) is extremely important. 6. Exceptional time management and organizational skills and high attention to details. 7. Self-motivated to move the organization and mission forward. 8. Comfort and confidence working under pressure of deadlines and on multiple priorities at once. 9. Ability to maintain confidentiality of information. 10. Alaska based sponsorship and fundraising experience in addition to broad national experience preferred.
